Workflow automation

Stop doing the computer's job.

Every business has a few little tasks someone repeats fifty times a week because nobody ever set it up any other way. Those are the hours we go after.

Many repeated manual steps collapse into one automatic step. open emaildownload fileretype itprint itforward itrepeat tomorrow done

Real examples

Before and after.

None of these needed new software or a big budget. They needed someone to notice the problem and connect the right pieces.

Orders that print themselves

A WooCommerce store emailed every new order to several people. One of them opened each email and printed it so the order could be pulled. Every order, every day.

We connected the store to her printer with PrintNode. Now orders just come out of the printer.

Before

  • Order placed
  • Email to the team
  • Open the email
  • Print it
  • Pull the order

5 steps, 2 of them by hand, on every order

After

  • Order placed
  • Prints automatically
  • Pull the order

0 steps by hand

"Just text us a picture"

Customers needed to send photos to the office. That meant emailing them from a phone, which a lot of people struggle with, then the office digging through the inbox to match photos to jobs.

We text-enabled the business's existing phone number and set up Captivated. Customers text the same number they already call, and the office texts back from a shared inbox.

Before

  • Take photo
  • Find the email address
  • Attach and send
  • Office searches the inbox
  • Calls back

5 steps, and some customers gave up

After

  • Text the photo
  • Office replies by text

Same phone number, now it takes texts

Books that post themselves

A service business takes cards all day. Each bank deposit lumps sales, tips and card fees into one number, which then has to be pulled apart and typed into the accounting software.

We connected the payment system to the accounting system, so every deposit is split and posted on its own.

Before

  • Deposit lands
  • Download the report
  • Work out sales, tips, fees
  • Type it into the books

Every deposit, by hand

After

  • Deposit lands
  • Split and posted automatically

Nothing to type

What else can be automated?

Probably more than you think.

If a task is the same every time, follows a rule, and moves information from one place to another, it's a candidate. A few we see a lot:

Web form entries into a spreadsheet Appointment reminders by text Invoices into accounting New orders to the right person Job openings on your website, pulled from your hiring system New-hire accounts in Microsoft 365 Alerts when a website or server goes down A weekly report in your inbox every Monday Email broadcasts to your customer list

When off-the-shelf won't do

Custom tools, sized for a small business.

Sometimes the right answer is a small web app built around how you actually work: a bid tracker, a job pipeline, a customer portal, a dashboard. We build those too, on modern cloud platforms that cost very little to run.

What's the task everyone hates?

Tell me about it. If it can be automated, I'll tell you how. If it can't, I'll say so.
